Booking knowledge base

Every policy, payment method, waiting rule, vehicle capacity and child-seat guideline in one place — written for travellers, not lawyers.

Booking basics

How to book, amend and confirm an airport taxi with Travellers Taxi Solutions.

How to book an airport taxi

Online, by phone or by email — bookings take under two minutes.

Book online 24/7 at travelerstaxi-solution.com/book. Enter your pickup address, destination, date, time and number of passengers to receive a live fixed-price quote.

You will receive an email and SMS confirmation immediately, and a second SMS with the driver's name and vehicle 60–90 minutes before pickup.

For very short-notice bookings (under 90 minutes) call us on the number in the site footer — we usually confirm within a few minutes if a driver is available.

Amending or cancelling a booking

What you can change, when, and any charges.

You can amend a booking free of charge up to 4 hours before pickup — including changing the pickup address, adding a stop, upgrading the vehicle or changing passenger count.

Cancellations more than 24 hours before pickup are free. Between 24 hours and 2 hours before pickup, 50% of the fare applies. Under 2 hours (or no-show) the full fare applies.

See the full cancellation policy at /cancellation-policy.

How far in advance should I book?

Recommended lead times by trip type.

Early-morning airport pickups (before 6am): book the night before at the latest. Peak season 5–7am pickups can be booked out several days ahead.

Standard daytime transfers: usually confirmed same-day, but 2 hours notice is recommended.

Groups, MPVs and 8-seaters: book at least 24 hours ahead. Weekend evenings and Fridays fill up fastest.

Payments, invoices & refunds

What we accept, how receipts work, and how refunds are processed.

Accepted payment methods

Cash, card, Apple Pay, Google Pay and corporate account.

Visa, Mastercard and American Express — accepted in the vehicle by contactless card reader and online through our secure Stripe checkout.

Apple Pay and Google Pay work both in-vehicle and online.

Cash is welcome; please carry exact change where possible for fares over £50.

Corporate account clients are billed monthly with a consolidated invoice — see /corporate.

Receipts and VAT

Automatic itemised receipts after every journey.

An itemised email receipt is sent within minutes of the journey completing. It shows the date, route, vehicle, price breakdown and our VAT number.

For a duplicate receipt or a re-issue to a different email, contact us with your booking reference.

Corporate account statements are issued at the end of each calendar month with a single PDF invoice covering all journeys in the period.

Refunds and disputes

Processing times and how to raise an issue.

Card refunds are processed to the original payment card within 3–5 UK business days. Cash refunds are made by bank transfer or account credit.

If any part of your journey did not go as expected, please contact us within 14 days. We investigate every complaint and aim to respond within 2 business days.

For chargebacks or disputes raised through your card issuer, we cooperate fully with the issuer's process.

Flight delays & waiting time

How live flight tracking, waiting windows and delay charges work.

Live flight tracking (included)

Every arrival pickup is monitored automatically.

When you enter your flight number at booking, our dispatch system polls the airline's live schedule and adjusts the driver's dispatch time based on the actual expected landing.

If your flight is delayed by 30 minutes, we hold the driver back by 30 minutes — you do not need to call us. If it lands 20 minutes early, the driver is dispatched earlier so they are in place when you exit reclaim.

Long-haul arrivals (US, Middle East, Asia) receive a 60-minute post-landing free wait to allow for slower baggage and passport control.

Waiting time charges

When the driver waits, and when charges apply.

Airport arrivals: 45 minutes free from landing (60 minutes long-haul). Extra time billed at £5 per 15 minutes.

Home, hotel or business pickups: 10 minutes free from booked time. Extra time billed at £5 per 15 minutes.

If you know you will be delayed, message the driver — we can hold the vehicle without charge in genuine emergencies.

Cancelled and rerouted flights

What we do when the airline changes your plan.

If your inbound flight is cancelled entirely, contact us as soon as you know the new plan. We can rebook you for the replacement flight (usually free of charge if it is on the same day) or cancel without penalty for airline-caused cancellations.

If you are rerouted to a different airport, we will attempt to reallocate a driver to the new airport at the equivalent fare where possible.

Luggage & vehicle capacity

Vehicle sizes, luggage limits, and oversized items.

Vehicle capacity guide

Passenger and luggage capacity by vehicle type.

Saloon (up to 3 passengers): 2 large check-in cases + 2 cabin bags.

Estate (up to 4 passengers): 3 large check-in cases + 3 cabin bags.

MPV (up to 6 passengers): 4–5 large check-in cases + 6 cabin bags.

8-seater minibus (up to 8 passengers): 8 large check-in cases + 8 cabin bags.

Golf clubs, skis, bikes and instruments

Oversized items and how to book them.

Golf bags fit 1 per passenger in an estate, 4 in an MPV, 8 in an 8-seater. Golf transfers to St Andrews and Turnberry are one of our most common bookings.

Skis and snowboards fit in an estate for up to 2 sets, MPV for 4 sets. Larger groups need an 8-seater with roof-mounted ski box (advance notice).

Bicycles need to be boxed or have wheels removed to fit in an MPV or 8-seater.

Musical instruments up to violin/guitar size fit in a saloon; cellos, double basses and larger instruments need an MPV or 8-seater.

Lost property

What to do if you leave something behind.

Drivers check the vehicle after every drop-off and lost items are logged with your booking reference.

Contact us as soon as possible with a description. If found, we can arrange return delivery at the local taxi rate, or hold the item at our base for collection.

Child seats & family travel

UK child-seat law, what we provide, and how to book with children.

UK child seat law

Every child under 12 or 135 cm must use an appropriate restraint.

Rear-facing infant seat: birth to 13 kg (approx 12–15 months).

Forward-facing child seat: 9–18 kg (approx 9 months to 4 years).

High-back booster: 15–36 kg (approx 4 to 12 years).

Booster cushion: 22–36 kg — permitted but a high-back booster is safer.

Seats we provide

Free child seats subject to availability.

We carry all three seat categories at no extra charge — please request the right type at booking and confirm the child's age and weight.

For very early morning pickups or multiple children please book 24+ hours ahead so we can allocate seats and clean them for you.

Your own car seat is welcome and compatible with all our vehicles (ISOFIX or seatbelt-mounted).

Choosing the right vehicle for a family

Saloon vs estate vs MPV for families.

A saloon fits 2 child seats plus 1 adult in the rear — fine for a small family with hand luggage only.

An estate is the best value for a family of 4 with holiday luggage.

An MPV or 8-seater is needed for 3 child seats, grandparents joining, or big luggage loads (pushchair + travel cot + suitcases).
